Real Estate Assistant/Executive Administrator

Job Overview

We are in search of a dynamic and detail-oriented individual passionate about the real estate industry to join our team as a Real Estate Assistant/Executive Administrator. The ideal candidate will have a working knowledge of real estate transactions, with a salesperson license being advantageous but not mandatory. The role demands a solution-oriented mindset that can track project milestones effectively. This hybrid position offers some scheduling flexibility. The salary range is $40,000 - 70,000, commensurate with experience.

Key Responsibilities

Marketing:

- Manage lead flow to agents and track source reporting.

- Promote agents through various channels.

- Update and manage website content.

- Post and manage blog content (content provided).

- Monitor and manage campaigns.

- Handle social media accounts.

- Update, print, and assemble marketing materials.

- Create promotional flyers.

- Promote listings and generate seller reports.

Agent Accountability:

- Generate regular activity reports.

- Schedule meetings with Broker.

- Facilitate communication with agents.

Transactions:

- Ensure compliance with correct forms, signatures, and complete document sets.

- Follow up on important dates and inform agents and Trillium owners.

- Facilitate agent commission payments.

- Manage tasks as required.

Systems:

- Create or implement new processes to improve workflow.

- Enhance client and agent utilization of systems.

- Track and report metrics.

Office Management:

- Research vendors and provide selection recommendations.

- Manage office supplies and equipment.

- Oversee room reservations.

- Manage lockboxes and yard/Open House signs.

Property Management:

- Enter rent and invoices into the system.

- Handle check and report printing.

Owner Support:

- Assist with project completion, email management, scheduling, travel arrangements, and occasional research.

- Manage social media posts, track tasks, manage the database, and handle one-off projects.


Systems and Software:

CRM, Transaction management, KPI tracking, DocuSign Secure signing platform, Microsoft Office Suite, Slack, MLS, Property management software


Qualifications:

- Relevant experience in real estate transactions and administration.

- Strong attention to detail and organizational skills.

- Excellent communication and interpersonal skills.

- Proficiency with systems and software listed above.

- Ability to work independently and in team settings.

- Flexibility and adaptability in a dynamic work environment.
